General
What is a mobile espresso bar?
Our mobile espresso bar is a fully self-contained setup that brings a high-end café experience directly to your event. We bring our own professional espresso machine, grinder, supplies, and trained baristas — everything needed to serve beautifully crafted drinks on-site. No venue hookups required (power permitting).
What types of events do you cater?
We cater a wide range of events including weddings, corporate gatherings, birthday parties, baby showers, pop-ups, and marketing activations. If you're bringing people together, we'd love to bring the coffee.
Where are you located and how far do you travel?
We're based in East Dallas and serve the greater Dallas–Fort Worth area. We're happy to discuss events outside of DFW — just reach out and we'll see what we can work out.
Booking
How far in advance should I book?
We recommend booking at least 4–6 weeks in advance, especially for weekend events and peak season (spring and fall). Popular dates fill up quickly, so earlier is always better.
How do I get a quote?
The best way to get started is to reach out via our catering page or email us at catering@cultivarcoffee.sbs. We'll follow up with pricing based on your event size, duration, and drink selections.
What information do you need to provide a quote?
To give you an accurate quote, it helps to know: your event date and location, estimated guest count, how many hours of service you need, and whether you have any specific drink requests.
Do you require a deposit?
Yes, we require a deposit to hold your date. The remaining balance is due before or on the event day. Full details will be outlined in your event agreement.
The Coffee
What coffee do you use?
We use our own house-roasted beans from Cultivar Coffee Roasting Co. — the same high-quality, seasonally sourced coffees you'd find in our café. Every drink is made with care using freshly ground, freshly roasted coffee.
What drinks can you serve?
Our standard menu includes espresso, Americano, cappuccino, latte, cortado, and pour-over. We can also offer matcha, seasonal specialty drinks, and non-coffee options. We'll work with you to build a custom drink menu that fits your event.
Can you accommodate dairy-free or alternative milk options?
Absolutely. We typically offer oat milk, almond milk, and whole milk. Just let us know your guests' preferences and we'll plan accordingly.
Can you do a custom signature drink for our event?
Yes — this is one of our favorite things to do. We love collaborating with clients to create a unique drink that fits the vibe of their event. Share your ideas and we'll make it happen.
Logistics
What do you need from the venue?
We typically need access to a standard 120V electrical outlet and a 6–8 ft table or flat surface to set up. We'll go over specific requirements when we confirm your booking.
How much space does the setup take?
Our standard setup fits comfortably in about a 6x6 ft footprint. We can work with larger or tighter spaces — just let us know what you're working with.
How long does setup take?
We typically arrive 30–45 minutes before service begins to set up and dial in our equipment. Breakdown takes about 30 minutes after service ends.
How many guests can you serve?
This depends on the service duration and drink complexity. Generally, one barista can comfortably serve 50–100 guests per hour. For larger events, we can add a second barista to keep the line moving.
Do you provide cups, napkins, and supplies?
Yes — we bring everything needed to serve, including cups, lids, sleeves, napkins, and sweetener options. If you'd like branded or specialty cups, let us know in advance.
Pricing
How is pricing determined?
Pricing is based on the number of guests, hours of service, drink menu, and travel distance. We offer packages to make things simple, and we're happy to customize based on your budget.
Is gratuity included?
Gratuity is not included in our quoted price, but it is always appreciated by our baristas. If you'd like to include gratuity in your contract, we can accommodate that.
What is your cancellation policy?
Cancellation terms are outlined in your event agreement. In general, deposits are non-refundable within a certain window of the event date. We'll always do our best to work with you if something comes up.
